Getting started
What's the difference between a dashboard and a spreadsheet?
A dashboard is the quickest way in — pick a ready-made tracker from our dashboard library and the charts, totals and layout are already built. Nothing to design, nothing to maintain.
Direct Spreadsheet Connect sends your messages to your own Google Sheet instead, so you keep your columns, formulas and file. Pick that if you already have a spreadsheet you like or need the raw data in your Drive. More on spreadsheet connect →
You can run both at once on the same phone number.
How do I connect without typing my phone number?
Choose WhatsApp, Telegram or SMS during setup and we'll show you a QR code. Scan it with your phone's camera and your messaging app opens with everything already filled in — you just hit send. No numbers to copy, no country codes to get wrong.
Already on your phone? You'll get a tap-to-open button instead of a QR code. And if scanning fails for any reason, there's always a short code you can text us manually.
What messaging apps does this work with?
WhatsApp, Telegram and regular SMS. Connect whichever one you already use — the data lands in the same place either way.
Do I have to type my messages in a specific way?
Not at all. "Just got paid $250 from Acme Inc for the logo design" works just as well as "Acme Inc, $250, logo design, paid." The AI is built to understand human language, not computer commands.
How it works
How does the AI know what to extract from my messages?
For a dashboard, each tracker already knows what it's looking for — an expense tracker hunts for an amount, a category and a date; a workout log looks for an exercise, reps and duration.
For a connected Google Sheet, your column headers are the instructions. Name them whatever makes sense to you ("Client", "Amount", "Status") and the AI matches your message against them. Add a column later and it starts getting filled.
Can I send to more than one dashboard or sheet?
Yes, up to your plan's limit. Start a message with a keyword to steer it — #work to your invoice tracker, #home to the household budget. Messages without a keyword go to your default destination. You choose the keywords during setup.
What happens if I send a message with missing information?
The system is designed to be helpful, not rigid. If something important is missing, the Chat2Sheet bot replies right there in WhatsApp, Telegram or SMS asking for the detail it needs — you never have to go looking for an error somewhere else.
What if the AI makes a mistake?
While our AI is highly accurate, mistakes can occasionally happen. Send #fix to remove the last entry, then send it again. Owners can also edit or delete rows directly on their live dashboard.
Can I use this for voice notes or images?
Not yet — voice note transcription and receipt scanning are on the roadmap for Pro and Business. Today Chat2Sheet works with text messages, and since the AI understands natural language, a quick "Coffee $5" takes seconds.
Plans & limits
What counts against my limits?
Three separate things, and they're counted independently:
- Input sources — each phone number or Telegram account you connect. 1 on Free, 3 on Pro, 5 on Business.
- Destinations — dashboards and connected Google Sheets share one pool. 1 on Free, 3 on Pro, 20 on Business.
- Messages — how many you send us each month. 15 on Free, 200 on Pro, 600 on Business. This resets on the 1st.

What happens if I go over my monthly message limit?
We'll reply to tell you — we never drop a message silently. Your existing data stays exactly where it is, and your counter resets on the 1st of the month. You can upgrade at any time from your account page to carry on immediately.
Can my team or partner send to the same dashboard?
Yes, on Pro and Business. Invite them from your dashboard and they text from their own number into the shared tracker — useful for household budgets, team sales or field reports. Each extra number uses one of your input source slots.
Data & privacy
Is my data secure?
Your messages travel over encrypted connections and are processed to extract the data you asked us to track. Dashboard entries are stored in our database so your dashboard can render them; sheet entries go straight into your own Google Sheet.
Dashboards are private by default. They're only visible to someone with the share link, and only if you choose to send it.
What Google access does Chat2Sheet need?
Only the specific files you pick. We use Google's own file picker, which grants access to the spreadsheet you select and nothing else in your Drive. You'll also share that sheet with [email protected] as an Editor so we can write rows to it.
If you only use dashboards, we never ask for Drive access at all.
Can I export my data or leave?
Always. A connected Google Sheet is already yours — it lives in your Drive under your account, and disconnecting Chat2Sheet leaves the file untouched. Dashboard data can be exported, and deleting a dashboard removes its entries.
Troubleshooting
I sent a message and nothing happened.
That shouldn't happen — we reply to every message, even the ones we can't process. If you got no reply at all, the most likely causes are that the number you texted from isn't connected yet, or you haven't finished verifying it. Check your setup page, and if it still looks right, email [email protected] and we'll trace it for you.
My rows aren't appearing in my Google Sheet.
Nine times out of ten the sheet hasn't been shared with [email protected] as an Editor. Open the sheet, hit Share, add that address with edit permission, then resend your message. If you renamed or moved the tab you connected, reconnect it from your setup page.
